How to Call Your Landlord in German About a Repair
A leaking tap is annoying. Explaining it on the phone in German can feel worse. You have to name the problem, describe how urgent it is, give your address, and understand when someone can come—all without gestures.
The good news is that a repair call follows a predictable structure. Prepare four facts before you dial: what is broken, where it is, when it started, and when you can let someone in. This guide gives you the German landlord repair phrases to handle the rest.
Before you call: write down the key details
Keep your rental address, apartment number, and landlord or property manager’s contact details in front of you. If your building is managed by a company, you may speak to the Hausverwaltung rather than the Vermieter or Vermieterin.
Write one simple description of the defect. For example:
That means, “The heating in the living room has not been working since yesterday.” You do not need to diagnose the technical cause. Describe what you can see, hear, or smell.
A realistic repair call flow
When you call a landlord in German, the conversation will usually follow these steps:
- Greet the person and identify yourself.
- Give your address and, if relevant, your apartment number.
- State the problem in one sentence.
- Explain when it began and how serious it is.
- Answer questions or offer to send photos.
- Arrange access for a technician.
- repeat the appointment and next step before ending the call.
Your opening can be very simple:
Guten Tag, hier ist [Name]. Ich wohne in der [Straße und Hausnummer]. Ich möchte einen Schaden melden.
“Hello, this is [name]. I live at [street and number]. I would like to report a defect.”
Einen Schaden melden is useful for reporting damage or a defect. For a smaller malfunction, you can also say:
Ich möchte ein Problem in meiner Wohnung melden.

Complete mini-roleplay: the heating is broken
Hausverwaltung: Hausverwaltung König, guten Tag.
You: Guten Tag, hier ist Maya Thompson.
Hausverwaltung: Was genau ist kaputt?
You: Seit gestern Abend. Die anderen Heizkörper funktionieren noch.
Hausverwaltung: Haben Sie die Heizung schon entlüftet?
You: Das weiß ich leider nicht. Ich möchte nichts falsch machen. Können Sie bitte jemanden schicken?
Hausverwaltung: Ja.
You: Morgen ab 10 Uhr bin ich da. Könnte der Techniker mich bitte kurz vorher anrufen?
Hausverwaltung: Ja. Unter welcher Nummer sind Sie erreichbar?
You: Unter 0176 12345678.
Hausverwaltung: Genau.
You: Vielen Dank.
Arranging access and confirming the repair
A broad appointment window is common in repair conversations. Make sure you know whether the technician will ring your bell, call first, or collect a key.
- Wann kann der Handwerker kommen? — When can the tradesperson come?
— I am home on Tuesday from 2 p.m.
- Bitte rufen Sie mich kurz vorher an. — Please call me shortly beforehand.
- Mein Name steht nicht an der Klingel. — My name is not on the doorbell.
- Ich kann zu dieser Zeit leider nicht. Gibt es einen anderen Termin? — Unfortunately, I cannot make that time. Is there another appointment?
— Do I need to stay home during the appointment?
End by confirming who will do what:
Nur zur Bestätigung: Sie beauftragen einen Techniker und melden sich wegen des Termins bei mir?
Recovery phrases when the call gets difficult
You do not have to pretend you understood everything. These phrases slow the conversation down without sounding abrupt:
- Entschuldigung, könnten Sie bitte etwas langsamer sprechen? — Sorry, could you speak a little more slowly?
— Could you repeat the company name?
- Was bedeutet „Wartungsfirma“? — What does “maintenance company” mean?
- Meinen Sie heute oder morgen? — Do you mean today or tomorrow?
- Könnten Sie mir den Termin bitte per E-Mail bestätigen? — Could you confirm the appointment by email?
- Einen Moment bitte, ich schreibe das auf. — One moment, please; I am writing that down.
If you cannot name an object, describe the location and action: Das Teil unter dem Waschbecken tropft (“The part under the sink is dripping”). Clear beats technically perfect.
Common mistakes to avoid
Calling everything kaputt
Kaputt is natural, but it gives little detail. Add what the object does: Die Waschmaschine startet nicht or Das Fenster schließt nicht richtig.
Making the urgency vague
Do not exaggerate, but explain concrete consequences. Es läuft Wasser auf den Boden is more useful than Es ist sehr dringend. If the issue can wait, say so: Es ist nicht dringend, aber ich möchte es gern prüfen lassen.
Agreeing to a time you did not understand
Repeat the day and time aloud: Also am Donnerstag, den 22., zwischen 8 und 10 Uhr? This catches misunderstandings before anyone makes a wasted trip.
Relying only on the phone call
After the call, send a short written summary with the address, defect, date, photos if useful, and agreed next step. It creates a clear record and helps the repair company prepare. Requirements and responsibilities depend on the situation and your rental agreement, so seek qualified advice if there is a dispute.
Practice your version before dialing
Replace the details in this four-line script:
Guten Tag, hier ist [Name]. Ich wohne in [Adresse].
Ich möchte ein Problem melden: [object/problem].
Das Problem besteht seit [time] und [observable detail].
Können Sie bitte jemanden schicken und mir den Termin bestätigen?
Then practise three variations: the landlord asks for a photo, the proposed time does not work, and you miss the technician’s company name. Say your address and phone number aloud too; numbers are often the hardest part of a real call.
Practice with Leni
Practice your landlord repair call with Leni and rehearse the exact problem in your apartment. Start with:
Please roleplay my German Hausverwaltung. My heating is broken. Ask me follow-up questions, offer a repair window, and speak at a natural but manageable speed.
Leni can change the scenario to a leak, blocked drain, or broken window and help you recover when you do not understand.
